Interview Manager: Fill Out Applicant Interview Evaluations
The evaluation and documentation of applicants' performance in interview is an important part of any organization required to comply with EEOC, ADA, and other statutory employment requirements. When interviewee evaluations are properly recorded and tracked within AppliTrack, the retrieval of historical information in the event of legal hearing or other audit becomes trivial. This document describes the steps required to complete an evaluation, as defined by an interview questionnaire, of an applicant.
In this document, and throughout AppliTrack, you'll see the terms "Evaluation" and "Questionnaire". These should all be treated synonymously - the same way that "applicant", "interviewee", and "candidate" are often mixed together.
Along this same vein, to "fill out an evaluation" and "complete a questionnaire"all represent the same action.
Overview:
Interview Questionnaires are a special type of AppliTrack eForm that serve to associate an applicant with the notes and quantitative evaluation performed by an interviewer or interview team. All completed questionnaires appear in the Applicant Dashboard, within the "Interview Materials" section. Multiple evaluations may be completed for each interview series to which an applicant has been assigned, however, only those questionnaires that are associated with a specific series may be used as the evaluation. (That is, a questionnaire created for Interview Series X cannot be completed and associated with an applicant's performance in Interview Series Y.)
To complete a questionnaire, or evaluation, for an applicant, begin by accessing the applicant in question:
- Navigate to the Interview Materials section. Any interview series to which this applicant has been assigned will appear here. If the applicant has not been assigned to the specific interview series in which you are interested, you may choose to assign the applicant at this time (see the sidebar, "Evaluating Applicants without the Interview Manager", for an alternative).
- Click the "Fill Out Interview Evaluation" link (#1) associated with the desired interview series.
- A "Select Form" window will appear, listing all of the questionnaires associated with the given interview series. Within this list, click the "Select Form" button associated with the desired questionnaire (often there will be only one questionnaire per interview series).
- Once the questionnaire is selected, a choice of recipient is presented. By default, the recipient of Me will be selected. If you wish to complete the evaluation yourself, or on behalf of another, keep this selection and click the "Edit and Deliver Invitation" button.
Note: it is possible to send the questionnaire form to another party for completion. For example, if a parent were participating on the interview team, their notes and evaluation could be scored without granting them access to the AppliTrack system by identifying them as an "Other Email" recipient.
- After confirming the prompt to begin completing the form, the blank form will appear. Notes from the interview session and quantitative rating should be recorded in the form. When complete, click the "Submit Form" button at the bottom of the window.
- Once submitted, click the "Close Window" button to return to the Applicant Dashboard. Notice that the new, completed evaluation will appear in the "Interview Materials" section. To view, click the evaluation title or the "View" link. Completed questionnaires may be deleted only by their creator or a system SuperUser.
By default, the evaluations completed for an interview series are only visible to AppliTrack users that are participants in that interview series. This permission is can be changed and is controlled by the preference
Interview Evaluation Access. If you wish to further restrict access to completed interview evaluations, or you wish to make evaluation information visible to more users,
change this preference. It is not possible to grant access to evaluation results to any invidiual that is not an AppliTrack user.
While it is recommended, you need not make use of Interview Series and Sessions to evaluate an applicant's performance in interview. Interview Questionnaires are a special type of eForm and, as such, can be associated with an applicant file through the use of the "Fill Out a New Form" or "Send a Form" button (appearing in the "Other Materials" section of the Applicant Dashboard). When an Interview Questionnaire is completed independently of an interview series, the completed questionnaire will appear within the "Interview Materials" section, unaffiliated with any series.
